For some Landlords and Company Tenants the main contact person would like to have emails sent to multiple people. Unfortunately, due to limitations with our Lettings Management Software, we are unable to do this. However, we recommend creating a new email address just for dealing with your property – for instance, if your property is Number 1, Hatfield Road, St Albans, AL1 3RR, we would recommend that you create a free Gmail email address such as 1hatfieldrdal13rr@gmail.com. Then you can ensure that all of the emails related to your rental property are always send to this address. You can then share access to this address with your partner or friends/family members who help you with the property if you wish. You can even follow the following directions to forward or redirect your  emails sent to that new address to your existing email address and the email addresses of those who you also wish to be kept in the loop:

To make Gmail forward incoming messages to another email address automatically:

  • Click the Settings gear in your Gmail’s top right corner.
  • Select Settings from the menu that comes up.
  • Go to the Forwarding and POP/IMAP tab.
  • Click Add a forwarding address.
  • Enter the address to which you want to forward future Gmail emails under Please enter a new forwarding email address:.
  • Click Next.
  • Now click OK.
  • Open an email from “Gmail Team ” with the subject “Gmail Forwarding Confirmation” at the address to which you are forwarding.
  • Highlight and copy the 8-part code under Confirmation code:.
  • Switch back to Gmail in your browser.
  • Paste the 8-part confirmation code under confirmation code.
  • Click Verify.
    • If you have already set up the address in Gmail for forwarding in the past, you can skip the previous steps.
  • Make sure Forward a copy of incoming mail to __ and __ is selected under Forwarding:.
  • Pick the desired email address.
  • Choose how Gmail should handle forwarded messages. Select
    • keep Gmail’s copy in the Inbox to have Gmail leave the message in your Gmail Inbox as new and unread.
    • archive Gmail’s copy (probably the most useful setting) to make Gmail mark forwarded messages as read and remove them from the Inbox, but keep them in the archive for later search and retrieval.
    • trash Gmail’s copy to move the message to the Trash after they have been forwarded. Trashed messages will be deleted automatically after 30 days.
  • Click Save Changes
